Digitization of accounting departments thanks to the Plus Workflow

An epidemiological threat quickly verified the stage at which are the Polish enterprises in terms of the implementation of IT systems. Suddenly, the companies all around the world were forced to provide employees with the ability to perform their duties remotely. It appeared that the lack of digitization in accounting departments may result in problems for an enterprise. For this reason, the pandemic accelerated the need to automate the duties of accounting departments. The situation is still unstable, thus, the companies prepare and implement functionalities that will provide employees with the possibility of remote work.

In order to fully digitize financial and accounting processes, it is worth implementing the Workflow class solution. Whereas, for the purpose of ensuring automation, an enterprise may use OCR technology, which will enrich the system of electronic flow of documents. The Plus Workflow system will meet the requirements of the most demanding customers. It is worth mentioning that, for the vast majority of our clients, automation of the accounting processes was a priority.

The platform is used to transfer repetitive and manual duties from an employee to the system of the electronic workflow of documents. Thanks to this, employees of accounting departments may focus on realization duties requiring specialist knowledge, such as analyzing, reporting, or preparing strategies. It noteworthy that the implementation of the Plus Workflow system eliminates errors and increases security in the tax area.

Are there areas that should not or cannot be automated? Generally, unique, unrepeatable processes are not automated. Within the accounting department, we most often digitize areas related to:

  1. Purchase – from issuing a purchase requisition to placing an order and matching it with invoices;
  2. Settlements – the entire invoice approval process, financial obligations, and business expenses;
  3. Accounting – automatic booking, month closing, taxes;
  4. Reporting – financial reports, cost analysis;
  5. Full internal control – continuous insight into processes, tasks, settlements, and reports from any location.

To prepare for the implementation, it is necessary to divide the whole process into particular stages. Firstly, it is essential to diagnose and analyze the sources of inefficiency. Be aware that this time is the first step towards digital transformation. There is no such thing as a too complicated process, and thus all of them may be automated. It all depends on proper analysis and presentation of the process as a series of activities performed by subsequent users. These activities should be optimized. Our experienced analysts will help the client to select the appropriate steps and plan the best solution, which brings tangible benefits.
